Job Title: Assistant Conference Coordinator (ACC)

Assistant Conference Coordinator Job Summary: The ACC is an ACES employee who will work alongside the ACES Conference Coordinator (CC) to plan the bi-annual ACES conferences. The ACC will assist with and participate in mentoring the ACES regional conference planners during regional conference planning years. Specially, the ACC will oversee aspects of planning related to the conference technology platform (currently Cvent) and tasks related to use of that platform.

 

ACC Responsibilities

General

  • Assist the CC with the planning and management of the ACES conference and the mentoring of the regional conference planners
  • Communicate with the CC to assure information sharing for planning continuity purposes
  • Provide conference related information to the CC for inclusion in written reports to the board
  • Participate in meetings and calls related to aspects of conference planning
  • Travel to the ACES Conference and two regional conferences
  • Complete a two-year term with stipend, with the possibility of renewal

 

ACES Conference Duties

  • Assist in the selection of conference committee chairs and committee members
  • Manage the portal for conference proposal submissions and review
  • Manage the conference registration site
  • Assure that conference sessions are scheduled within the master schedule for the conference
  • Provide the schedule of conference sessions and additional information in the required format to the graphic designer within the timeframe for publication of the master program
  • Oversee the creation of the conference application
  • Complete all tasks within the parameters of the approved ACES budget
  • Assist with the dissemination of key conference timelines and other important conference-related information

 

Regional Conference Duties

  • Assist the CC in mentoring regional conference planners
  • Attend regular planning conference calls (usually 1-2 times per month)
  • Serve as a consultant for conference planning and issues, specifically those issues related to technology platforms

 

Candidate Requirements

Required

  • Masters or doctoral degree in counseling or counselor education
  • Experience with conference planning
  • Competent use of technology and Excel

 

Preferred

  • Excellent time management and communication skills
  • Able to work independently as well as part of a team
  • Capable of balancing quality and budgetary needs related to conference decisions

 

Compensation and Benefits

Salary: Dependent on education and experience

 

Projected Start Date

January 1, 2020
